When paying, the customer automatically agrees to the following:
TERMS AND CONDITIONS:
PRICES, BOOKING AND PAYMENT
All prices on www.wanderingowl.com are in Norwegian kroner and are per person. The prices include everything mentioned in the trip description and there are no additional fees to the announced prices. Taxes (VAT) are also included.
Guests must check their emails and whatsapp 3 hours prior to an activity departure time in case of last minute changes.
Delays may occur. Costs related delays are not included if we are late because of traffic, road works, accidents, bad weather, avalanches, sudden illness or other unexpected events. In the case of such event and delay, Wandering Owl AS is not responsible for missed flights, misses of booked activities or other loss.
If you cancel:
You will get a full refund if there is 10 days or more before the trip takes place.
You will get 50 % refund of the total trip cost, if it is 9 - 5 days before the trip takes place.
You will have to pay 100 % of the total trip cost, if it is less than 5 days before the trip takes place.
The cancellation fees will be applied depending on the time between the date we receive written notice that you must cancel your trip and the trip’s departure date.
If we cancel:
We will first try to reschedule you on another date or another tour according to our availability and to both your interest and stay in Tromsø.
If not, you will get a full refund.
We reserve the right to cancel the trip if there are less then the minimum number of participants joining or for weather related reasons. In this case the customers will get full refund. We unfortunately cannot be responsible for other expenses you have had while preparing for this trip, for example flight tickets.
We will not give refund of organized trips because of bad weather conditions or low solar activity.
HEALTH AND MEDICINE
We have the right to refuse participants to join the trip with us if we feel the trip is to physically and/or to mentally demanding for them. A full refund is given under such circumstances.
It is very important that you notify to us if you have medical problems, and what medications you use. It is important that people with different health challenges contact their doctor to discuss any challenges regarding their health condition, with a focus on necessary medications, your ability to cope with cold and physically challenging trips, previous operations, or other relevant health issues.
There is always first aid equipment in our van and we carry mobile phones in case of emergency
To book a trip from us, you must be 18 years old. Young people can participate on our trips, but only when accompanied by adults.
The customers are responsible for selecting a trip that is suitable according to their interests and abilities. Is there uncertainty about this, feel free to contact us.
We demand that local laws are followed, and will not tolerate the use of illegal drugs, or any violation of Norwegian law. Smoking is not permitted in our vehicles.
WARRANTY (Aurora Hunt)
We will guarantee you a memorable experience in the arctic but unfortunately we can not promise that you will see the northern lights. We will do our best to find clear skies to see the aurora but the rest is up to the nature. We will not give refund of organized trips because of bad weather conditions or low solar activity.
PHOTOS AND MARKETING
The photos provided for free are websized resolution. The original resolution is available to purchase after the tour. Your guide will give you tips for the right settings of your camera as well as taking pictures of you during the tour. You will receive the guide's pictures straight to your mailbox 1-5 days after the trip. Please note that our guides may work on repetitive night shifts and may need some time to edit the pictures to give you the best service. If you have received this email we have your correct email address. Keep checking your inbox and your spam folder, sometimes emails with attachments end up there.
By buying our products you automatically consent to the use of the images that we take during the trip, of you or of the other persons that booked with you (if over 18), for advertising and promotional purposes in any media we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use these images for publicity and promotional purposes. If you for some reason do not accept this, let us know, and we will take that into consideration.
All the photos provided to you by Wandering Owl (purchased or not) will remain Wandering Owl's ownership exclusively. You are allowed to use them for your private use only, and to share them on social media and photo sharing platforms, at the condition that the watermark remains visible. You are allowed to print them for private use only and no commercial use is permitted. Using photographic materials to promote any activity that is not strictly related to Wandering Owl's or publishing Wandering Owl's photos in paper media requires Wandering Owl's written permission. Not respecting these terms of conditions will expose the violator to judicial proceedings.
LIMITATIONS OF LIABILITY
Wandering Owl, our guides, owners, shareholders, other employees, or agents take no responsibility for our customers’ negligent or willful acts that lead to their own or others' death, personal injury, loss, damage, or deterioration of a person or property.
After a trip has started, Wandering Owl is not responsible of delays or interruptions of the trip due to naturally occurring events, if third persons need emergency assistance at road accidents or nature-made accidents, illness within the tour group, broken equipment, food poisoning, theft, delays, strikes, terrorism, civil disturbance, government restrictions or other unforeseen events. Your money will be returned if something happen that leads to a cancellation of the trip, or you will have the opportunity to go on another trip if available. Wandering Owl reserves the right to alter routes, itineraries or timetables without prior notice, should the necessity arise. No liability is accepted for losses or expenses due to delays or changes of arrival or departure of flights or other services, injury, sickness, accident, strikes, damage, negligence, weather, war or other causes outside the control of Wandering Owl. All such losses and expenses are the personal liability of the traveler.

3 Customer Register
The Customer Register deals with the Customers who have booked a tour with Wandering Owl AS (hereinafter referred to as "the Company”) directly on Wandering Owl web page or through a reseller such as Viator or VisitTromsø. The register is held in the booking system the Company uses, currently Zaui.
4 Purposes and basis for processing
The purpose of handling the Customer's personal data is for the Company to be able communicate with the customer before and after the tours and access needed information relevant for the tour the customer has booked.
In addition, the use of existing Customers' personal data is aimed at direct marketing of services and products of the Company.
5 Personal data to be processed
Using its Customer Register, the Company processes the following Personal Customer Information:
- customer's name
- customer's contact information (e-mail address, address and telephone number)
- credit card information related to the payments made (Stripe)
- customer's health related information (if provided by the customer, non-obligatory for booking)
6 Regular sources of information
Personal information is collected from the Customers themselves via online booking system (Zaui) on the Company´s web page or resellers (Viator, VisitTromsø).
7 Regular transfers of personal data
Personal data shall not be disclosed to third parties.
Personal Data can be exceptionally transferred to the Company's partners on behalf of the Company for the purposes of offering the Customer an optional tour e.g. in case of cancellation or change of tour date. The Customer will always be informed about such transfers beforehand.
8 Retention of personal data
The User’s personal data will be retained only for as long as necessary to fulfil the purposes defined in this Policy.
9 Registered Rights
The Customer has the right, at any time, to object to the processing of his/her personal data for direct marketing purposes.
In addition, the Customer is entitled, at any time, to demand compliance with applicable data protection laws, namely:
- to receive information regarding the processing of his/her personal data;
- to obtain access to their personal information and verify how this personal data is processed by the Company;
- to demand rectification and/or supplementation of erroneous and/or insufficient personal data; - to demand the removal of their personal data;
- to object to the processing of his/her personal data on a basis related to their personal situation, even if the processing of personal data is the legitimate interest of the Company;
- to obtain personal data in a convertible format and transfer such information to another Registrar, provided that this particular Customer has personally supplied his/her personal information to the Company; and
- to demand a restriction in the processing of their personal data.
The Customer must submit a request for the implementation of the aforementioned rights, using contact details shown in this document. The Company may ask the Customer to specify the details of his/her request in writing and to confirm the Customer's identity, before processing this request.
10 The right to appeal to the supervisory authority
The Customer has the right to file a complaint with the relevant supervisory authority or with the supervisory authority of the EU Member State where the Customer's place of residence or work is located, if the Registrant considers that the Company has not processed the personal data in accordance with applicable data protection legislation.
Any digitally processed personal data is protected and stored in the Company's information system, access to which is limited only to persons who need this information for performing their legitimate duties. These individuals have access to their respective personal usernames and passwords.

Prepare before the tours
Make sure you wear the right kind of clothing and equipment adapted to our Arctic climate: a warm base layer, winter clothes including warm shoes, a hat, mittens, a scarf, woolen socks. Remember to charge the battery of your camera and if possible have an extra one with you. Don't bring unnecessary luggage, since there is limited storage place in the car.
Take your passport with you in case we need to drive all the way to Finland to hunt the lights.
Provided during the tours
We will provide you with a thermal suit and winter boots to keep you warm. Please make sure you have informed us with your shoe and suit sizes!
If you want to take pictures with your camera, we always have professional tripods available in the car for all guests. We do not provide cameras to customers, but our guide will take pictures on the trips and will share them with you at no extra cost. The photos provided for free are websized resolution. The original resolution is available to purchase after the tour.
During the tour you will be served a home-made warm meal, biscuits and hot drinks.
Our equipment and the environment
We use high quality equipment and have everything necessary with us. We are prepared to special situations. We have some extra mittens, hats, socks, and hand warmers for those who need them. We try to be as environmentally friendly and possible, therefore all our equipment is reusable including hand warmers, and drinking cups. Please, give them back to the guide at the end of the tour and help us keep our environment free of litter.
We kindly ask you not to throw plastic in the bonfire and to please remember that our boots will melt if you put your feet too close to the fire. Your feet on the other hand will not be any warmer that way, so please let the guide know if you are cold.

You will be in the car during the drive but we will get out to take pictures and enjoy the landscapes, so dress up with warm clothes and shoes. If you need to borrow winter boots or thermal suit from us, please let us know beforehand!

We use high quality equipment and have everything necessary with us. We are prepared to special situations. We try to be as environmentally friendly and possible, therefore all our equipment is reusable including hand warmers, and drinking cups. Please, give them back to the guide at the end of the tour and help us keep our environment free of litter.
